Senior Associate, Accountant

OVERALL PURPOSE

The primary purpose of this role is to play an integral and vital part in the administration and smooth running of the office enabling the Luxembourg team to provide an efficient, professional service to the clients and entities managed and administered by the team in Luxembourg.

REPORTING RELATIONSHIPS

The Senior Associate reports to the Conducting Officers of Stonehage Fleming Corporate Services, Luxembourg and will supervise the Associates in the office. WORKING RELATIONSHIPS Corporate Services Luxembourg is a small multi-disciplined team and the principal working relationships will be with the Conducting Officers and other members of the local team. The Senior Associate will also interact with professional intermediaries, bankers, custodians and other such parties and other staff within the Stonehage Fleming Group to include the Corporate Services Jersey team.

PRINCIPAL ELEMENTS & ACCOUNTABILITIES

Management & administration support will include: 

Maintaining the statutory records for entities under administration 

Ensuring that regulatory, filing, listing and other formalities are met 

Maintaining the corporate calendar/diary for the business to ensure client, entity and other events are planned out and dealt with on a timely basis 

Assisting the directors/trustees/partners/shareholders in procuring the information required for client/entity meetings to include preparation of the agenda and supporting materials 

Producing, distributing and dealing with all day to day correspondence in a timely and professional manner 

Acting as a director on client entities, if required AML/CFT support and Investor Services will include: 

Assisting in satisfying the due diligence requirements for setting up new clients/entities 

Assisting in the processing subscriptions/applications received from potential investors 

Assisting in the client due diligence process such that checks on potential investors and verification of identity are carried out before new monies are taken in 

Processing re-registration requests for change of name, registered address or other authorized changes 

Maintaining the share/unit registers for all entities, updating the registers for all issues, redemptions, transfers and other changes Operational support will include: 

Processing payments for SFCSLUX and settlement of client fees & expenses 

Input of data to facilitate the payment process 

Interaction with central finance function to ensure timely reporting of regular management information and also CSSF reporting 

Assisting with data collection, input of data, ledger posting & the maintenance of accurate and complete client data on the system 

Collating accounting and valuation information as part of the client/entity accounting process 

Facilitating the set-up of banking & custodian relationships A member of the Stonehage Fleming Family & Partners Group of Companies 

Ongoing liaison with banks, custodians and other relevant parties so as to maintain the relationship and satisfy their due diligence requirements 

Administrating the accesses and preparing the submissions on the official digital filing platforms (e.g. eTVA, eCDF, eRCSL) 

Invoicing & collection of Stonehage Fleming fees and disbursements 

More general support as the inevitable part of a small team to include, for example, answering and directing phone calls, maintaining the filing system, ordering office supplies, etc.

QUALIFICATIONS AND EXPERIENCE

Experience 

In the finance industry and preferably with either a funds services business or trust company business background

SKILLS

Have obtained or are working towards a suitable financial qualification 

English language proficiency is a must, French is an asset 

Good communication skills 

Organized approach and excellent time management skills 

Computer literate with good keyboard skills and a proficiency in Excel and Word 

Good numeracy skills and ideally experienced with fund administration systems 

Able to work effectively within a small team environment 

Accuracy and attention to detail
