Team Assistant - Group Marketing

Stonehage Fleming provides a range of services from long-term strategic planning and investments to day-to-day advice and administration to over 250 families of substantial wealth. The Group employs over 500 people in 11 offices across 8 geographies.


Reporting to the Partners – Group Marketing, the Team Assistant will provide the Group Marketing team with comprehensive team support for diary management, travel, room bookings, expenses and other office administration. The role will also offer broad marketing related support, including support on events (running guest lists etc), coordinating stationery orders, branding in word and PowerPoint, creating templates, providing CRM support, as well as support with website updates, social media and PR coordination. The role requires creative flair with good attention to detail and the ability to multi task.

The role would provide administrative support to the Head of Group Marketing, Head of Family Governance & Succession and the Group Marketing team in London and South Africa as well as marketing support to marketing coordinators in our other offices.



Provide day-to-day support to all members of the team

Diary management, including the coordination of internal and external meetings, booking rooms, setting up conference calls or VC’s across multiple time zones, sending invites and meeting pre-reads

Preparing and issuing meeting agendas

Database management - manage all relevant CRM entries that are marketing related; drive adoption amongst the team

Prepare marketing packs and print-outs for meetings

Project and research work as required

Administrative work relating to ongoing projects

Manage the Marketing division page on the company intranet, including the updates and distribution of the Group materials

Prepare weekly press announcements and coverage email to send via the intranet to the Group

Ensure meeting rooms are stocked with correct material and that all offices have adequate supplies of stationery and marketing materials

Photography as required


Assist with the development of all marketing collateral including advertising, brochures, stationery, presentations, pitch packs and corporate gifts

Assist divisions across the Group with various branding requests

Assist and support with the coordination of all Group marketing functions and events - taking RSVP’s, and providing administrativesupport with logistics, including but not limited to name badges, seating plans, menus, flowers etc

Assist and support with the coordination of hospitality requests, research, sourcing quotes, and bookings

Maintain a Group-wide function and event schedule

Update and distribute corporate one pagers and statistic documents quarterly

Establish a close working relationship with the business development and client facing teams to support with marketing related requests

Assist with managing the PR relationship with the external appointed PR agency – arrange meetings, coordinate journalist interviews and keep track of all final editorial requests

Assist with website content uploads and overall site maintenance and updates

Provide social media support including scheduling posts and monitoring platforms

Assist with the creation and editing of video assets

Coordination of Envision mentoring programme in London


Previous administrative support experience as a team assistant or personal assistant (financial or professional services industry experience would be an advantage)

Experience of working closely with Senior Executives

Intermediate to advanced level in Microsoft Office Suite (including Word, Outlook, Excel and PowerPoint) preferred

Experience in InDesign or other design programmes will be preferred

Experience of working on CRM and communication platforms
